CLERKS – 2019/2020 Session Minute Record Review

Cancelled – Session Minute ReviewDue to the current rise in COVID-19 cases and the desire to keep all safe under our care, I am cancelling the in-person minute review session scheduled for Saturday, August 28, 2021.

Even though the in-person reading is cancelled, session records still need to be submitted and recorded to the Stated Clerk by Tuesday, October 12, 2021.
Here are the options you have to get your 2019 and 2020 Session Minute records reviewed.

OPTION 1 – DIGITAL RECORDS REVIEW

Clerks who choose this option need to have the know-how and ability to produce a digital version of your session minutes (2019 AND 2020) to submit along with your completed checklist.

How it will work: If your Minutes are already printed, they can be scanned into a pdf format to turn them into a digital file for sharing. Clerks who choose this option will be paired with another clerk and documents will be exchanged via email link. The pair of clerks can determine if they would like to set up their own zoom call to review minutes together OR the pair can choose to review minute records on their own and submit completed & signed checklists to the Stated Clerk by Tuesday, October 12, 2021.

OPTION 2 – PHYSICAL RECORDS REVIEW

Clerks who choose this option desire to physically bring their session minute books & completed checklist in-person for review. Masks are required for this option.

How it will work: Clerks will meet at the Presbytery Office on a designated day with a laptop or device that will support a zoom session. Clerks will physically exchange session records & completed checklists, but meet in two separate and sanitized rooms via zoom and conduct the reviews. This way, clerks can take record books with them without leaving them in another’s possession.

HOWEVER… if you are extremely cautious about sharing items another has touched, clerks will have the ability to drop off their records 2 or more days in advance of their scheduled review time (allowing any virus that may be present, to die off before being handled by the clerk’s partner).

I hope these options will help to accommodate our trying times and need to get this obligation completed this calendar year. Waiting another year to see if the COVID outbreak would allow for our “traditional” meeting to complete our minute reviews, is simply not a viable option, considering we would have to review 3 years of records.
